Priced by the year, not by the contact

At 5,000 marketing contacts, HubSpot Starter's contact charges come to $190 a month, more than the seats cost. HubSpot's catalog also says the contact tier "cannot be downgraded until your contract renewal date," and that going over it bills you immediately. Tome's engine is $400 a year with no contact count attached. A list that doubles costs you nothing extra, and a list you clean out earns you nothing back either, because the number was never on the bill.

The pages and the pipeline were built to fit each other

On Tome an intake form is a block on the page, the submission is a contact, and the contact goes into the pipeline, all in the one database that also holds her course progress and her orders. HubSpot does this well inside HubSpot. The difference is where the site lives: Starter caps it at 30 pages and one blog, and everything on it has to be a HubSpot page for the CRM to see it. Tome's CRM sees the whole site because it is the site.

A sales team lives in the CRM

A sales team lives in the CRM. Sequences, quotes, forecasting and call logging on the same records, with Sales Hub Professional at $100 a seat a month. Tome's engine catches and works leads; it isn't a sales floor.

Integrations on day one

You need the integrations on day one. HubSpot lists more than 2,000 apps. On a custom platform each connector is built or bought.

Reporting without a developer

Reporting has to work without a developer. Professional includes 75 dashboards and multi-touch attribution arrives at Enterprise. Nobody has to write a query.

Procurement wants a vendor

Procurement wants a vendor. Phone support, managed hosting with a firewall and a CDN, a public company behind it, and a partner ecosystem to hire from. IT often asks for exactly this.

What the fee buys

Tome's CRM won't beat HubSpot's free tier on price for a small list. It stops the meter: the contacts, the seats and the sends are yours by the year, in your own database.

FIVE STEPS

From a HubSpot export to a running platform.

  1. STEP 01

    Export the CRM.

    Contacts, companies, deals, tickets and custom objects export as CSV from HubSpot's own export tools. Do it before anything is downgraded; that's HubSpot's advice as well as ours.

  2. STEP 02

    Export the site.

    HubSpot gives you an HTML file of your pages and assets, and a CSV of blog posts. Forms and legacy CTAs don't come with it, so list them.

  3. STEP 03

    Model the operation, not the site.

    The Architecture Sprint is two weeks and $5,000, credited to the build: the data model, the pipeline stages, the risks, and an exact price. If you don't build with us, you keep the architecture.

  4. STEP 04

    Build it, or install it.

    An MVP is $25,000 fixed; a full platform starts at $55,000. If you have a developer and a Payload project, the packs and the engine install with one npm install and a free account. Embedded HubSpot forms become intake blocks, and the contacts land in the new pipeline with their history.

  5. STEP 05

    Time it to your renewal.

    Your contact tier can't be lowered before it, so the move lands on the date the old bill would have gone up. From there, Care is $100 a month for a site and the platform retainer $300 to $700, and the code stays yours.
